The President appointed members to the Steering Committee who are
representative of the community. Appointments were made in consultation
with the Chair, Vice President and the Director of Athletics. Selections
were made to include an appropriate number of people; representatives from
various administrative and academic areas; students and student athletes;
members of the community; and include representatives from diverse
communities. The steering committee has been given clear authority from Fr.
Kevin Mackin to speak and act on behalf of Siena College with regard to the
self-study process.

Responsibilities
The responsibilities of the Steering Committee include:
Approve the written plan for completing the self-study.
Facilitate the work of the Subcommittees to ensure the timely and accurate completion of Subcommittee objectives.
Review all the reports from the previous self-study.
Collect and organize relevant data.
Provide the community the opportunity for input.
Ensure that the self-study process is open and collaborative.
Review the self-study draft prepared by the report editor.
Maintain a written record of all Steering Committee and Subcommittee proceedings.
Hold regular meetings to assess progress.
Review all Subcommittee reports against the operating principles and ask the Subcommittees for clarification or further review when needed.
Ensuring that appropriate plans for improvement have been developed and included in the final report.
Work with the report reporter to ensure that the final report contains all necessary components required by the self-study process.
Approve, produce and distribute the final Self-Study report.
Institutional Liaison
President Mackin has appointed Vice President Fr. Jim Toal, OFM as the
institution's campus liaison. Fr. Toal, will be responsible for fielding
questions from institutional personnel and forwarding them to the NCAA staff
member, coordinating preparations for the evaluation visit, to include
lodging and travel for peer-review team members, scheduling interviews, and
organizing work related needs for peer reviewers (e.g., computer resources,
secretarial access, meeting rooms). Fr. Toal will be responsible for
maintenance of self-study files, and arrange campus meetings. The Athletic
Department's Web Master will facilitate the electronic distribution of
Steering Committee and Subcommittee minutes/reports.
Conference Involvement
Barbara Church, Associate Commissioner of the Metro Atlantic Athletic
Conference, will serve as an ex officio member of the Steering Committee
throughout the process. During the self-study process, she will work on an
ad hoc basis with the institution's certification steering committee. Also,
Ms. Church will make available a source book of institutional policies and
procedures that can serve as a resource for the membership during the
self-study process.
Involving the Campus Community
Campus involvement in the self-study process begins with a broad-based
representation of staff, administrators, faulty, students, student athletes,
community members, and Athletics Department personnel to the steering
committee. In addition, members of the community will be appointed to serve
on subcommittees. The work of the Steering Committee and Subcommittees will
be well documented.
Agendas, minutes and reports will be posted to the College's Athletics
Certification web site and hard copies will be placed in the J. Spencer and
Patricia Standish Library. The final self-study document will be posted to
the web site and placed in the Library as well.
The Office of Community Affairs and Public Affairs will be responsible for
issuing press releases to the Capital District print and electronic media.
Information about the process will be reported in the Office of Alumni
Relations Weekly e-news letter; "Dog Bites," the Athletics Department
newsletter; Siena Alumni News; and appear periodically in the President's
community e-mail.
Open forums will be held by the Steering Committee to present an overview of
the process, provide progress reports of the Subcommittees and to receive
comments from the community.
Preparing Report
Report Writer
Fr. Jim Toal, OFM, Vice President, has been appointed report writer and the
individual responsible to facilitate the distribution of the report to the
NCAA Committee on Athletics Certification per NCAA guidelines.
Institutional Guidelines for Writing the Report
NCAA Standards
Subcommittee reports and the final report will follow recommended guidelines
contained in the Division I Athletics Certification Handbook.
Subcommittee Report Considerations:
Address each issue of the self-study in a thorough, but concise manner.
Prepare responses to each specific self-study item so that they can be read individually, rather than as part of a general narrative.
Provide supporting documentation only as necessary, with specific attention to materials noted in the self-study instrument.
Supply three years of data where specified by the self-study instrument. Where three years is not specified one year is sufficient.
Materials that are "to be available" must be easily obtainable if requested by the Peer Review Team.
Expectations of the report:
The reports conclusions are based on reliable and available data and evidence.
The conclusions reached are reasonable based on available data.
All existing concerns have been identified and plans for improvement developed to address those concerns.
Plans for improvement should be considered as to their impact in the overall quality of the College's athletic programs.
The organization of the institution's self-study report will follow the
three-part format described on page 21 of the Division I Athletics
Certification Handbook.
